Use the same six checks for every provider
- e-Invoice: Demonstrate the document types you use, returned validation statuses, error correction and duplicate prevention. Keep the current LHDN guidance separate from vendor sales claims.
- Accounting and stock: Use a sample sale, return, purchase and payment to check your required reports and controls.
- Document sharing and custom fields: Ask which functions are included, which are add-ons and what limits apply. Do not assume “unlimited” without written terms.
- Access and data: Confirm user numbers, branch access, export formats, backups, restoration and who controls the data.
- Training and support: Compare topics, delivery format, support hours, response arrangements and renewal terms.
- Total cost: Include licences or subscriptions, modules, setup, migration, hosting, training and ongoing fees.

A useful shortlist starts with evidence from your own workflow. A top accounting system for one business may lack a module another business needs. Use this worksheet to compare packages fairly: score each item from 0 (not demonstrated) to 5 (demonstrated and accepted), and multiply by its importance to your team.
- Daily accounting: create a sale, payment and purchase, then reconcile the customer and supplier balances.
- Stock or service billing: test the returns, deposits, pricing or project information your business actually uses.
- e-Invoice: show submission status, error handling and the review process for your transaction types.
- Reporting and controls: test the report your owner or accountant uses at month end and check user permissions.
- Implementation and support: identify who migrates the data, trains staff and handles issues.
- Cost: compare first-year and renewal-year totals for the same users, modules and services.
